PART B - Privacy Policy: Mimar AI Features

Last Updated: November 01, 2026

1. Who is responsible

For Customer content processed through Mimar, Buildend acts as a service provider (and, where the GDPR or UK GDPR applies, a processor) on behalf of the Customer, and processes it as described in the Terms, the Data Processing Addendum and this policy. For account, security, usage and Feedback data about Mimar, Buildend acts as a controller (and, under the CCPA, a business).

2. Information Mimar processes

Depending on the features you use, Mimar processes the following categories of information, which may include:

  • What you tell Mimar: typed messages, voice transcripts, files you attach, answers to Mimar's questions.
  • Project information retrieved to answer you: RFIs, submittals, tasks, change orders, budgets, schedules, contracts, forms, documents, photos, drawings and specifications you are permitted to access.
  • Account and role context: name, job title, company, Workspace, project, and the permissions and roles you hold.
  • Forwarded email: sender, recipients, subject, body and attachments of email sent to a project's Mimar inbound address.
  • Conversation records: your conversation history and titles; preferences and instructions set by you or your administrator.
  • Usage and technical data: usage counts, timestamps, request metadata, and a log of how each request was routed.
  • Feedback: responses you flag, your comments, and the surrounding messages.

3. How we use it

We use this information for the following purposes and for similar purposes that are related to providing and improving Mimar: (a) answer your questions and prepare or perform actions you approve; (b) generate reports and charts; (c) convert forwarded email into draft records; (d) remember your preferences and Workspace instructions; (e) secure, debug, monitor and prevent abuse of the service; (f) measure usage, apply limits and bill; (g) evaluate and improve Mimar, including using Feedback as described in §6 and de-identified usage data; and (h) comply with law and enforce our terms. We do not use Mimar conversations for advertising, and we do not sell this information.

4. Service providers that receive information

We use AI model, hosting, email and infrastructure providers to run Mimar, and we send them the information needed for a request. The current list of providers that process personal data for us is on our Subprocessors page, which we update as providers change. Examples include AI language model providers, cloud hosting providers, and your device’s speech service.

5. AI model training

We do not use Customer content to train AI models. Our agreements with our AI providers do not permit them to use content we send them to train their own models. We may still use Feedback and de-identified data as described in §6 and Part A §§6 and 9. We improve Mimar through our own instructions, examples and testing.

6. Human review of Feedback

When you flag a response, the flagged exchange (your message, Mimar's reply and up to 10 preceding messages for context) and any comment you add are stored and may be reviewed by authorized Buildend personnel and by service providers working for us. We may use Feedback to correct and improve Mimar, including by turning it into generalized examples, instructions, test cases and evaluations that apply to all customers, and we may keep Feedback and anything derived from it as described in §7. We try to remove customer names, project names and other identifying details before Feedback is shared more widely, but we cannot guarantee that all identifying details are removed. Conversations you do not flag are not routinely reviewed by people. Our personnel may access them only as needed for support, security, abuse prevention, to fix errors, or to comply with law.

7. Retention and deletion

We keep information for as long as needed for the purposes in this policy, and may keep it longer where law, security, dispute resolution or backups require. Specifically:

  • Conversations: kept until you delete them. After you delete a conversation, we remove its messages from active systems within 30 days and from backups within 60 days, except as stated below.
  • Message log: we log the messages you send Mimar, with the category Mimar assigns, to check accuracy and monitor the service. We keep entries for as long as needed for these purposes.
  • Usage and billing records: kept for as long as needed for financial, security and legal reasons. They do not include conversation content.
  • Forwarded emails: emails forwarded to Mimar, including their text, sender, attachments and the draft records created from them, are kept until you delete them. You are responsible for deleting forwarded emails and drafts you no longer need using the delete options in Mimar. Attachments you approve are copied to your project's Files and follow your Buildend retention settings. If your Workspace ends, this content is deleted as described in the last bullet below.
  • Feedback: we may keep Feedback, de-identified or generalized examples derived from it, and de-identified usage data for as long as we find them useful, including after you delete a conversation or your Workspace ends. We delete Feedback we have not used periodically.
  • When a Workspace ends: we delete or return its Mimar data within 30 days in active systems and 60 days in backups, as set out in the Customer agreement, except for the items described above.

8. Who can see your conversations

Your conversations are available to you. Workspace administrators can set Workspace-wide instructions that apply to everyone's Mimar conversations and can enable or disable Mimar. Records Mimar creates or changes follow normal project permissions, so other project members will see them as they would any other record. Buildend personnel and our service providers may access conversations only as described in §6 or as needed to provide support, ensure security, fix errors, prevent abuse or comply with law.

9. Voice

Speech is converted to text by your device's operating-system speech service before it reaches us (see Part A §8). We do not receive or store the audio.

10. Forwarded email and third parties

Email forwarded to Mimar may contain personal information about people who are not Buildend users, such as subcontractors or design-team members. The Customer is responsible for having the right to forward and process it. We process it only to prepare the draft record and as described in this policy.

11. Security

We use encryption in transit and at rest, access controls, logging, and permission checks tied to the user's own access to protect Mimar data. No system is perfectly secure. If you suspect a problem, tell us promptly at support@buildend.com.

12. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete or restrict the use of your personal information, to object to certain processing, and to receive a copy. These rights are subject to the exceptions in §7 and applicable law. Mimar does not make decisions with legal or similarly significant effects about individuals; a person approves any change it prepares. To exercise rights, or to ask us to disable Mimar for your Workspace, contact support@buildend.com. If you are in the EU or UK, our legal bases include performance of our contract and our legitimate interests in operating, securing and improving the service. If you are in California, we do not sell or share this information as defined by the CCPA.

13. International transfers

We and our providers may process and store information in the United States and in other countries where we or our providers operate. Where the law requires safeguards for international transfers, we use appropriate safeguards, such as standard contractual clauses.

14. Children

Mimar is intended for business use by adults and is not directed to children under 18.

15. Changes and contact

We may update this section by posting a new effective date and, for material changes, giving notice as described in Part A §13. Questions: support@buildend.com.
